The Document Controller will be responsible for managing, organizing, and maintaining project documentation to ensure accuracy, consistency, and accessibility.
The role involves handling all incoming and outgoing project documents, ensuring proper approvals, version control, and timely distribution across departments.
The Document Controller ensures that all records are up-to-date, securely stored, and comply with company and project procedures.
Key Responsibilities:
Ensure all project documents are accurately prepared, approved, and stored.
Manage document storage both physically and electronically, including scanning, copying, and organizing files.
Retrieve documents efficiently upon request and maintain a complete record of document movement.
Review and edit documents for completeness, signatures, and formatting consistency.
Maintain a coordinated filing system in line with QSE procedures and project standards.
Use ACONEX Document Management System for registering and tracking documentation.
Register all incoming and outgoing correspondence, MoMs, drawings, and technical submittals.
Maintain detailed registers of letters and communications, stamping and recording before distribution.
Support the Project Manager by coordinating the flow of technical documents and administrative records.
Ensure timely distribution of documents to consultants, contractors, and relevant project staff.
Coordinate with project teams to verify the accuracy and completeness of records.
Prepare and maintain backup copies of all project documents.
Maintain a proper filing system and track files when borrowed.
Ensure successful closeout and handover of documentation at project completion.

Diploma or Bachelor’s degree in Business Administration, Engineering, or related field.
3–6 years of experience in document control within construction, engineering, or project-based industries.
Proficiency in ACONEX or other document management systems.
Strong knowledge of documentation procedures and filing systems.
Excellent attention to detail, accuracy, and organization skills.
Strong communication and coordination abilities.
Proficiency in MS Office (Word, Excel, Outlook).
